OTOWA EXECUTIVE SETS AIMS AND OBJECTIVES FOR 2004


EMBRO, ON - May 8, 2004

      The Executive Committee of the Ontario Tug-of-War Association met on Tuesday, May 4th, 2004 in Embro, Ontario at the home of Ron Totten, treasurer of the association.  Malcolm Monteith called the meeting to follow up on items that had arisen at the annual meeting of council held in April and to chart the course for the new executive in 2004.

        The following are highlights of the minutes of that meeting:


Present: Malcolm Monteith (President), Melody Newman (Vice-President), Tanya Scheerer (Secretary) and Ron Totten (Treasurer).

1.      Purpose of Meeting:

Malcolm outlined the reason for meeting:

  1. To meet as a new executive and prepare for the upcoming 2004 season

  2. To delegate duties among the executive and members of the association.

2.      Business arising out of Minutes of Annual Meeting of April 4, 2004

The committee reviewed the minutes of the Annual Meeting held on April 4, 2004.  Topics requiring follow-up were discussed.

a)      Association Directory: 
Responses from only South Easthope ladies and Zorra ladies had been received to date.  It was decided that the executive will contact the teams to hand in their forms as follows:
Tanya Scheerer - South Easthope men, Bluewater men and ladies.  Melody Newman - Nissouri men and women.  
Malcolm Monteith - Peel men and women, Toronto men and women, Windsor.  
Ron Totten -Ellice, Petawawa, Zorra men and women, McKillop.

b)      Code of Conduct Committee:  
A discussion was held on which members to approach to be on this committee.  Melody Newman will represent the executive.  Malcolm indicated that he would contact Tom Kempel (Chief Judge), Peter Duncan (CATOWA President) and Jim Connolly (National Head Coach) to serve on the committee.

c)      Membership fees:
Ron Totten will remind teams of the due date of June 1 for membership fees.

d)      Banquet Committee:
Melody Newman and Malcolm Monteith will work with the Nissouri team to organize the Annual Awards Banquet to be held on November 6th at the Lions' Community Hall in Thorndale, Ontario.  The focus this year will be on ensuring that members are recognized for their efforts and dedication to the sport over their years as members of the association. (eg. 25 Year Awards)

e)      Trophy Management: Malcolm Monteith will be in charge of contacting events organizers and proposing to them that they supply "keeper awards" that the teams can take with them.  The expensive trophies that in the past have not always been returned by the teams would then be left at the venue for display and be readily available for the next year's tournament..

f)        Membership and Voting Procedures:
It was decided that these matters be put on hold until next CATOWA  meeting.

3.      Focus for next four years:

a)      Long Term Goals:

1.      To involve more members in the operation of OTOWA

2.      To increase number of teams (men, women and youth) throughout Ontario

3.      To increase the number of tug-of-war venues throughout Ontario

b)      Short Term Goals:

1.      To establish a clearly defined plan for the operation of OTOWA

2.      To solicit more OTOWA referees

4.      Delegation of Executive Responsibilities:

a)      Coordinator of Events:  Malcolm has been in contact with all events to confirm for the 2004 season.  Would like members of executive to be in contact with events prior to the day to confirm scheduling, etc.

1.      Tanya Scheerer - Stratford fair, New Hamburg fair.

2.      Ron Totten –Embro Highland Games, Cambridge Highland Games, Embro fair.

3.      Melody Newman - St.Marys fair, McCully’s farm.

4.      Malcolm Monteith - Bread & Honey Festival, Santa Onorio Day, Fergus Highland Games, Mitchell Fair, Wellesley Fair.

b)      Communications Officer:  Tanya Scheerer

c)      Equipment Manager:  Malcolm will talk to Tom Kempel about supervising the association equipment and appointing someone to take charge of transporting the OTOWA trailer to events.

d)      Chief Judge:  Tom Kempel

e)      Public Relations:  Malcolm will talk to Bluewater Club to see if someone is interested.

f)        Awards Representative:  Malcolm presently holds this position but would like to share with someone else.

g)      Fundraising Representative:  Executive will talk to membership find someone to fill this position.
